What to send with a digital crown case

A practical checklist for sending a crown case: order details, requested records, dentist preferences, design review and timing.

By Lumera Dental · Reviewed

A clear case submission gives your designer the information needed to start. This checklist is for the handoff between your practice and the lab. It brings the order, records and instructions together so questions are easier to spot early.

Check the order details

Confirm the practice, prescribing dentist, tooth or teeth, restoration type and requested material. In a group practice, selecting the correct doctor also keeps the case and its lab charges associated with the right account.

Enter patient and clinical information in the case portal, where it belongs with the order.

Include the records requested for the case

Make sure the lab has the files needed for this restoration. Depending on the case, these may include preparation and opposing scans, a bite record and relevant photographs. Implant work may require additional component information and records.

If something is missing or you're unsure whether a file came through, ask in the case conversation. It is easier to settle that at the start than after the designer has begun working around an incomplete record.

Write down what needs attention

Include the shade and any instructions specific to the restoration. If a detail is particularly important, explain it in a sentence. Your designer will have more useful context than a note that simply says to be careful.

The same applies when something differs from your usual preferences. Identify the exception so your designer knows it belongs to this case.

Say when you want to review the design

If you'd like to review a particular part of the design, include that request. Keep the discussion with the case so the team can follow your comments and confirmation.

Some cases need very little discussion. Others benefit from more involvement. Telling us what you expect helps us plan the work with you.

Put timing in the conversation

Share time-sensitive requirements early. If we need clarification or additional records, we'll need to coordinate the next step and its effect on the schedule.

Uploading a case starts the process. Make sure any specific timing requirement has also been discussed with the lab.

Let the office know where to find the documents

The submitted case's prescription PDF includes pricing and can be downloaded before delivery. Preliminary invoices follow their own eligibility rules, generally beginning at shipment for physical cases. Final invoices are handled through billing.

Your office manager can use the appropriate document without waiting for a paper copy to arrive with the restoration.

If a question remains after submission, use the case conversation. Your assigned designer can review it with the rest of the instructions and keep working from the same information as your practice.
